  • The Problem

In the United States, people host or attend online and offline events regularly. In 2022, there were an estimated 1.5 billion events held in the US, and this number is expected to double by 2028.


While there are many platforms available to help event planners, these platforms often do not provide customized event-based plans. This means that event planners must spend a lot of time and effort researching and coordinating with everyone involved in the event.


In addition, the current technology makes it difficult to rely on online platforms for events. For example, online events can be difficult to manage if there are a large number of attendees. And, if there are any technical difficulties, it can be difficult to resolve them quickly.


As a result of these challenges, event planners often spend either more time in negotiating to save money or overspend to save time. This can lead to frustration and stress for event planners, and it can also impact the overall success of the event.

Tablepop is a marketplace to hire, negotiate and manage all vendors that are crucial to plan and host events.


Key features include searching and sorting capabilities to discovery vendors, messaging service to negotiate, vendor marketing tools, management suit for hosts as well as vendors, integrated payment tools and dynamic pricing.

Our product lead Vel, an event management professional herself, interviewed her customers and potential users. Here are some insights we found.


  1. The event management space is a highly unorganized space to work in where customization is king and over-spending is the standard.

  2. Personal assistance to user can reduce their part of hassle.

  3. Post event, it is difficult to provide feedback and track finance when numerous people are involved.


Talking to vendors as well as event planners made it clear that managing an events can become an endless pit of tasks with too many variables.

To begin the ideation process, we first tried to elabrate on the tyes of users, what they care about and what features address their specific problems.

Note: For simplified perspective, event planners will be considered as vendors and their hourly or event based time will be considered their services

We decided to design a user flow for:

1. Public web pages - (Include landing page, company details, pricing and contact pages)
2. User who create account - Event host, and Vendors.

We used the above insights to create mockups to address all feature requests that were curated using the above research.

  • Style Guide

The design system was built gradually with new elements kept adding from mockups. Overall it helped us maintain uniformity throughout the design and developer handoff became very convenient.

Creating user profile with accurate profile data is crucial to make it easier to help vendors understand user requirements. For the same, we create a detailed user sign-up to capture all preferences.

All tools a host needs to gain an overview of the event being planned are designed using a simple interface that focuses on jobs to be done.

Vendors can showcase their offering to help hosts better understand their proposition, pricing, and reviews to make informed deicisions.

The prototype is under testing phase. The current agenda is to see user convenience so the further iterations will be based on reviews and responses from end users.


Documentation is everything


I was going through interviews and testing with stakeholders, I figured that it was difficult to keep track of all information while designing. I would take more detailed notes for research so that I can define my success metrices clearly.
